Sending an email to all staff
Writing the email
Open HR → Bulk emails and press New bulk email. The email is written on its own page.
On the left:
- Subject.
- Message. The editor has headings, bold, lists, colours and links.
- Attachments: up to 5 files of 5 MB each.
On the right, the Recipients:
- The list is your working employees. It starts with Nobody selected yet.
- The dropdown switches between All working employees and Selected employees. Choosing all ticks everyone who can be reached.
- Search by name or job title, then tick people one by one, or press Select all. While you are searching, the button reads Select shown and ticks only the people in view.
- Clear unticks everyone.
- Someone marked no email has no address on their employee record and can't be ticked.
The count at the top of the panel tells you how many are selected out of how many can be reached.
Sending
The send button shows how many people will get the email. It works once there is a subject, a message and at least one recipient. aiku asks you to confirm, because emails go out straight away and can't be recalled.
Each person gets the email at the work email on their employee record, or at their personal email if they have no work one. To add a missing address, see Setting up a new employee.
Emails already sent
HR → Bulk emails lists what has been sent, newest first. Each card shows the subject, the start of the message, how many employees received it, the attachments, who sent it and when.
Search by subject or message, and narrow the list with From and To. Clear filters resets them.
Click a card to open the email:
- From and Sent, then the message as it went out.
- Attachments, each with a download. A file that is gone shows File no longer available.
- Recipients: everyone it was sent to, with a search. Someone who has since left is marked no longer working.
Emails sent before recipients were kept show the number of recipients only, with the note that the list was not recorded.
