Ordering from an agent together with other organisations

3 min read · #procurement · #purchase orders · #agents

Where to find it

Procurement → Agents → the agent. Three tabs: What to order, Ordering and POs to submit.

What to order

The pies show the agent's products grouped by how long our stock lasts: one for our range, one for their whole catalogue. Each group has a card with how many products are already on order, can wait, or are still to order.

  • Only what would run out leaves out products with enough stock. Products out of stock and your best sellers always go in.
  • Spend up to caps the order. The line under it shows the lines, the amount and the share of a container, and what is left of This round's budget.
  • Prepare order adds those products, in whole cartons, to a draft purchase order for each supplier. Nothing is sent to the agent.
  • Choose lines lets you pick products from a group one by one.

Order from the whole catalogue: Cards / Table opens every product of the agent, not only the groups.

Ordering

Browse the products as Cards or List. Filter by stock group, rank, supplier or search by code or name. On my drafts only shows what is already on your drafts, and Hide what is already on order removes products that are on an order.

Type cartons in the stepper on a product and it is saved straight to the draft purchase order of that supplier, which is created with the first product. Suggestion fills the number of cartons needed to reach the supplier's minimum and the stock you will need.

The supplier's minimum (MOQ) counts the drafts of every organisation. A green tick means it is met. Amber means it is not met yet. Under the stepper you see what other organisations have on their drafts for the same product, so you only add what is missing.

POs to submit

One card per supplier, with a row per organisation: products, total, volume and its tick. By purchase order shows the same as a list where you can open the products of each order. Volume is shown as a share of the agent's container.

  1. When your part is finished, tick OK to submit on your row. Untick it to take it back.
  2. The card shows how many organisations are ready. When all are, press Submit to agent. Submit all agreed submits every such card at once.
  3. If you are the only organisation ordering from a supplier, Let them know tells the others before you submit.

Drafts are hidden from the agent until they are submitted. If you submit, your organisation's draft goes with it.

When someone is not ready

Submit without waiting asks you to write why (at least 10 characters). It then sends every organisation's draft for that supplier as it is, so the agent can start on all of it. Nobody can add to those orders afterwards, and this cannot be undone from here. The reason is recorded on each purchase order.

Who can use it

Purchasing edit permission for your organisation to tick and submit. Purchasing view permission to look. For the order to each supplier, see placing an order through an agent.
